Business Support Role

DFC is seeking an additional business support role for our growing business to help support Anna, Tina, and Lisa. Together, the Business Support team make sure the company continues to operate at its peak.

This role may be part time (4 day week) or full time (5 day week).

We are flexible on office location, the role may be in Leeds, Manchester or London.

Role

The business support role is split into four main areas:

  • Human Resources.
  • Finance.
  • Marketing.
  • Office Management/Administration.

Human Resources

  • Liaising with potential candidates, managing diaries and scheduling interviews.
  • Collation of relevant confidential documents, drafting of offer letters and contracts.
  • Corresponding with both successful and unsuccessful candidates.
  • Assisting with the annual Graduate Recruitment process. Anonymisation of incoming CVs, tracking applicant interviews and responses. Liaising with potential candidates, scheduling interviews and aptitude tests. Corresponding with both successful and unsuccessful candidates.
  • Assisting the current team with HR related needs. Scheduling and recording career development meetings, tracking and logging absence (holidays, sickness, dependency leave etc.).

Finance

  • Invoicing – Assisting with month-end invoicing procedures across the whole team. Project financial management using in-house Microsoft Excel based software. Drafting, checking and issuing invoices via Xero Accounting software.
  • Debt collection – monitoring outstanding debt, collation of reports for Engineers. Chasing outstanding debt. Drafting formal demands for payment.
  • Liaison with accountants on payroll and HMRC tax liabilities.

Marketing

  • Development of staff CVs, sector sheets and company profile sheets for external bids.
  • Collation of pre-qualification questionnaires (PQQs).
  • Updates and maintenance to website news and projects.

Office Management

  • Meeting room preparation pre/post meetings.
  • Organising catering for internal and external events.
  • Liaising with visitors/guests.
  • Day-to-day office management, stationery supplies, kitchen equipment, keys and passes, couriers and postal management.
  • Organising travel and accommodation arrangements.

Required Competencies

The successful candidate will need to demonstrate:

  • Strong spoken and written English. Strong proofreading and spelling/grammar skills.
  • Attention to detail throughout.
  • Positive attitude to learning and development within the role.
  • Excellent telephone manner for internal and external communication.
  • Track record of dealing with confidential information (legal, financial and personnel related).
  • Ability to work to tight deadlines under pressure.
  • Ability to receive tasks from several sources, rank priority and impact, take responsibility for delivery through to completion.
  • Basic knowledge of website editing using WordPress (adding articles, understanding basic HTML formatting, hyperlinks).
  • Intermediate keyboard skills – proficient in typing, formatting, shortcuts, general computer navigation.
  • Intermediate knowledge of business financial management (cash flow, invoicing, debt collection, credit notes, VAT, expenses, HMRC guidance).
  • Intermediate knowledge of Microsoft Outlook (importing/exporting mailboxes, mail formatting, managing shared mailboxes, filing of relevant emails, managing meeting room bookings).
  • Intermediate knowledge of good IT housekeeping. Be able to understand file naming conventions, version history tracking, navigation of files and folders, creation of files and folders.
  • Advanced knowledge of Microsoft Word (templates, advanced formatting, cross referencing, automatic fields, house style etc).
  • Advanced knowledge of Microsoft Excel (data manipulation, formula creation, formula editing and checking, adding/inserting data, sorting data, creating charts and graphs, problem solving and fault finding). A live Excel exercise will be undertaken during the interview process.
  • Advanced knowledge of Microsoft PowerPoint (presentation templates, slide formatting, animations, creating successful presentations for others).
  • Previous experience in the construction/engineering industry is preferred, but not essential. The candidate will need to quickly understand construction and engineering terminology, contractual requirements for projects, construction sectors, basic understanding of engineering disciplines and key clients/collaborators.
  • The ability to travel to DFC offices (Leeds, Manchester, and London) as and when required.
